Job Description

Position Overview

Provides administrative and sales support to Business Development Managers (BDMs), Senior Sales Management, Client Administration, and Executive Management as needed.

Job Responsibilities

  • Works closely with sales and account teams during the pre-sales and contract process, and assumes responsibility for sales support functions such as:  RFPs and RFIs; Internals; Proposals; Contracts; CRM updates; Sales & Commissions forms; weekly and monthly sales reports.
  • Works with sales teams in pricing offers, online bids, reverse auctions.
  • Provides immediate responses to sales team issues, and works with other departments to resolve sales-critical situations.
  • Compiles prospect/account status reporting to sales teams as appropriate. 
  • Manages the smooth transition of new accounts into a normalized account management process to Client Service Administrators.
  • Creates and maintains workflow activity reports and reviews with account management team as needed.
  • Updates prospect and sales activity in CRM program.
  • Schedules and prepares on-line sales meetings and teleconferences.
  • Assists in gathering prospect/account information through a variety of research options, including Web searches, Hoovers Online, and internal account files.
  • Manages and maintains up-to-date data in database(s) specified by management as required.

Job Requirements

  • Some college; minimum of Associates Degree preferred
  • Minimum of three (3) years of key customer service experience, and five (5) plus years experience in a key sales support role
  • Proven written/verbal communication skills including generation of business letters, data spreadsheets, and presentation materials
  • Demonstrated above average computer and telephone skills.
  • Intermediate to advanced experience with Microsoft Office, especially in Microsoft Word, Excel, and Outlook
  • Contact management or client relationship data management experience a plus
  • Ability to effectively solve complex administrative issues
  • Ability to meet deliverables and deadlines
  • Effective in building and leveraging internal and external relationships

Incumbent must be prepared to:

• Move up to 10 pounds occasionally, by lifting, carrying, pushing, pulling, or otherwise repositioning objects.  

• Sitting for long periods of time while using office equipment such as computers, phones and etc.

• Fingering and Repetitive motions; such as movement of wrists, hands and fingers while picking, pinching and typing during your normal working environment.

• Express or exchange ideas with others through the use of spoken word, quickly, accurately, and at an easily audible volume, and receive detailed information through oral communication at usual speaking levels without correction, and/or make fine discriminations in the nature of sounds in the environment.

• Must be able to operate a motor vehicle.

Incumbent is required to have: 

• Close visual acuity to perform detail oriented activities at distances close to the eyes, as well as visual acuity to perform activities at or within arm’s reach with skill, control, and accuracy,  such as preparing and analyzing data, viewing computer screen and expansive reading.

Incumbent will be subject to:

• Inside working conditions: The change of building environment such as with or without air conditioning and heating.
