Job Description



Position Overview

Provides administrative and staff support services to the project manager, lease  administrators, construction manager and any directors in the organizational unit. Assists in the preparation management of the real estate database,opening new project files and compiling key contact information on all projects for property abstracting. May serve as administrative liaison within and outside the company  regarding administrative  issues related to real estate transactions.   




Job Responsibilities

1.   Provides administrative and staff support services to the real estate department personnel in the organizational unit

2. Assists in the management of the real estate database,opening new project files and compiling key contact information on all projects for property abstracting

3.     May serve as administrative liaison within and outside the company regarding administrative  issues related to real estate transactions


4.    Various departmental support, including:

  • Assisting lease administrators & project managers with updating databases, preparing documents, obtaining approvals, supporting branch operations, running reports and setting up new vendors;
  • Processing departmental and construction related invoices from Construction Manager and Lease Administrators through our invoice payment and tracking systems, which currently include COUPA, DCI, JDE and CASS;
  • Phone correspondence with brokers, branch managers, landlords, etc;
  • Assisting with work overflow from Lease Administrators;
  • Other duties as assigned.

  • Responsible for various department duties, including:

  • Mail – Overnight, certified, etc.  Open, date and distribute mail & packages within the department;
  • Manage record retention system with outside vendor;
  • Scanning legal documents;
  • Effective communication skills for the phone and in interacting with all levels of company management. 
  • Knowledge of leasing and real estate helpful.



Job Requirements

1.   High school diploma/GED required

2.   One to three (1-3) years of administrative experience required

3.   Experience and skill with Microsoft© Office application (Word, Outlook, PowerPoint, and Excel} required

4.   Personal time management and organizational skills

5.   Strong attention to detail required.

6.   Strong and professional verbal and written communication skills

7.   Dependable and adaptable to operate within a fast-paced work environment

  • Move up to 10 pounds occasionally, by lifting, carrying, pushing, pulling, or otherwise repositioning objects.
  • Sitting for long periods of time while using office equipment such as computers, phones and etc.
  • Fingering and Repetitive motions; such as movement of wrists, hands and fingers while picking, pinching and typing during your normal working environment.
  • Express or exchange ideas with others through the use of spoken word, quickly, accurately, and at an easily audible volume, and receive detailed information through oral communication at usual speaking levels without correction, and/or make fine discriminations in the nature of sounds in the environment.


Incumbent is required to have:

  • Close visual acuity to perform detail oriented activities at distances close to the eyes, as well as visual acuity to perform activities at or within arm’s reach with skill, control, and accuracy, such as preparing and analyzing data, viewing computer screen and expansive reading.
  • Incumbent will be subject to:
  • Inside working conditions: The change of building environment such as with or without air conditioning and heating.
